General Information:
Our Board of Directors (BOD) meets virtually every month for two hours, and attendance is expected; scheduled meetings are voted on collectively. Board members are also encouraged to attend the PAATA’s continuing education events, Open Art Studios, and other activities when available. All Board members present their annual reports at the All Member Meeting each December. Board Members Chair their respective committees and coordinate meetings with volunteers from our membership. All BOD applicants must be members in good standing of the PAATA and the AATA.

There are nine PAATA Board Positions per our 2024 Bylaws. The President position is assumed by the President-Elect, who has served on the current board or has prior PAATA BOD experience. Kate Gibson, MA, ATR-BC, LPC is our newly appointed President-Elect and will move into the President position on 1.1.2025.

General Summary of Officers Job Duties (per our ratified bylaws on 10.23.2024):
- President. The president shall preside at all meetings of the Board, oversee the agenda for Board meetings, and perform all duties customary to the office of President.
- President-Elect. In the absence of the President or in the event of the President’s inability or refusal to act, the President-Elect shall perform the duties of the President and, when so acting, shall have all the powers of, and be subject to all the restrictions upon the President.
- Secretary. The Secretary shall be responsible for keeping accurate minutes of all meetings of the Board; shall see that all notices required by these Bylaws or by law are given; and, in general, shall perform all duties customary to the office of Secretary
- Treasurer. The Treasurer, in collaboration with the other (3) officers, shall be responsible for all funds and securities of the PAATA.
Detailed Descriptions of all Board Positions:
President (minimum ATR-BC)
This position is filled from the 2023-2025 Board
- Manage the administration of the PAATA, and maintain knowledge of all committees and PAATA areas of interest through direct reporting
- Hold monthly Board Meetings utilizing Democratic Rules of Order
- Collaborate with the Secretary to organize the draft meeting agenda and planning of distribution to all members in advance of each monthly meeting
- Support and guide board members in the performance of their duties as needed, demonstrating familiarity with each Chair responsibilities
- Oversee elections
- Work in partnership with the Treasurer and Board of Directors to develop an annual budget, while maintaining non-profit status
- Organize the annual All Member Meeting and any additional members meetings that may take place during each year.
- Work with the Events Chair to ensure that continuing education credits are applied for within the specified timeframe of the credentialing agency
- Communicate with the AATA via email, virtual platforms, and phone conversations regarding PAATA affairs when in need of guidance, support, or overall development
- Oversee the content of the PAATA website and social media platforms as needed to ensure the highest degree of professionalism in outward-facing publications
- Oversee the PAATA annual awards process or delegate as needed
- Secure gifts for outgoing board members or delegate as needed
- Collaborate with the President-Elect by delegating tasks and responsibilities that offer readiness for the role of President
President-Elect (minimum ATR-BC)
This position involves a four-year commitment (2 years as President-Elect + 2 years as President). It is best served by an individual with recent experience on the PAATA Board of Directors.
- Meet with the President weekly and assist in managing the coordination of all PAATA functions
- Familiarize oneself with the duties of the President, taking on the delegated tasks and responsibilities
- Communicate with the AATA as directed by the President when chapter needs arise
- Serve as a liaison between the PAATA and art therapy program directors to facilitate student volunteerism and engagement in the PAATA events/programs
- Participate in Chair committees and licensure efforts
- Coordinate with the Membership Chair and Treasurer to assist with the registration process for continuing education programs and events as needed
- Secures awards and certificates for all PAATA award recipients, coordinating shipping and payment with the Treasurer and Secretary
- Acquire a gift for the outgoing President during the last month of their term
- Maintain Liability and Directors’ & Officers’ insurance policies with input from the Board
- Liaison with students and assign them to Subcommittees considering skill sets and areas of interest
Treasurer (minimum ATR)
- Manage all financial affairs for the Pennsylvania Art Therapy Association through our current banking institution and related forms of payment.
- Coordinate the transfer of account ownership from the former Treasurer and President to the incoming Treasurer and President. Secure current PAATA credit cards for the Treasurer and President.
- Utilize Excel to document financial transactions (income & expenditures) and reconcile our bank account monthly, maintaining records of receipts on a secure PAATA platform.
- Have experience with payment options, including electronic checking, paper checks, credit cards, Venmo, and Zelle®.
- Agree to utilize one’s personal address for our PAATA financial business when deemed necessary (i.e. PNC bank + perhaps other institutions that require this), or explore alternatives.
- Establish and maintain automatic deposits and payments, ensuring that invoices are promptly paid.
- Work with an internal or external auditor if recommended by the PAATA President or the Internal Revenue Service.
- Ensure our vendors are aware of our nonprofit status under the American Art Therapy Association; note our additional EIN under them (DBA status – Doing Business As); secure IRS documents if needed
Secretary (minimum ATR)
- Maintain the established PAATA email account, respond to emails, and forward them to the appropriate board member in a timely manner
- Maintain electronic communication with PAATA members and the public (i.e., emails, call for papers, event notifications, award submissions), as well as among all Board members
- Save all documents and essential information to our electronic storage account (Google or other established), our external hard drive if applicable, and additional cloud services if utilized by the PAATA.
- Maintain organized and accessible PAATA communication accounts, eliminating nonessential mail and documents that are nonoperational in Google, Glasscubes, or related workspaces, etc.
- Collaborate with the President to create Doodle Polls voting on meeting dates and times
- Send out the call for BOD meeting agenda items and create a draft agenda, record approved meeting minutes in PDF form, work collaboratively with the President on BOD documents, and upload all pertinent board meeting documentation and information to our secure storage area
- Maintain, share, and update the Board of Directors roster with all BOD members monthly
- Liaison with the AATA to maintain a current record of Officers and Directors-of-Large.
Advocacy and Professional Affairs Chair (minimum ATR-P)
- Guide our membership in advocating for the Licensed Professional Art Therapy License (LPAT) and Provisional License (LPAT-P)
- Collaborate with the President and Licensure Committee to create all licensure publication content and documentation related to our Bill sponsorship
- Attend the AATA Conference, virtual state chapter meetings, and the Advocacy and Licensure Special Interest Group if possible, providing updates about our licensure efforts
- Liaison with the AATA Advocacy Chair for guidance and support as needed
- Collaborate on licensure plans with other AATA chapters through emails, Zoom meetings, and the AATA Forum
- Schedule and lead one Licensure Meeting monthly
- Email current licensure committee members with updates and reminders
- Liaison with Public Information Chair to disseminate timely information about upcoming meetings through social media
- Remain in contact with PA Representatives and Senators to advocate for Art Therapy Licensure through email, Zoom, and in-person meetings
- Organize Hill Days at the Harrisburg Capitol as deemed necessary
- Advocate for insurance reimbursement once the LPAT and LPAT-P is passed
Diversity and Social Justice Chair (minimum ATR-P)
- Support the PAATA’s authentic engagement to ensure that our efforts to promote diversity are not performative but reflect a genuine commitment to social justice
- Liaison with the AATA regarding Diversity, Equity, and Inclusion (DEI) education and training for the PAATA BOD
- Work with the Events Committee to propose continuing education opportunities that educate therapists about diversity and social justice (e.g., implicit bias, cultural differences, intersectionality, etc.).
- Advocate for the provision of voluntary services tailored to specific community needs reported by our membership
- Liaison with the Advocacy and Professional Affairs Chair by supporting legislation and policies that promote equity, inclusion, and social justice for mental health treatment
- Work with the President-Elect to provide information to our graduate student art therapy members in Pennsylvania regarding the annual PAATA Student Diversity Grant; present documentation to the BOD to enable voting for the grant recipient each year
Events Chair (minimum ATR-P)
- Coordinate Pennsylvania Art Therapy Association events throughout the year with the assistance of the board, such as:
- Annual Conference & All Member Business Meeting
- Open Studios and Unity Days
- Continuing Education (CE) events (virtual, in-person)
- Liaison with the Diversity & Social Justice Chair to expand public awareness opportunities through outreach programs
- Ensure all presenters receive a W-9 form when offering a PAATA CE event when payment exceeds $600 (IRA requirement).
- Coordinate with the President/President-Elect in applying for NBCC credit for continuing education events and the final processing of these events.
- Assist the Public Information Chair with content for creating event brochures and flyers
- Arrange and reserve rooms, A/V equipment, and art supplies as needed for in-person events or delegate this task
- Collaborate with the Membership Chair to ensure PAATA members receive membership rates for events
- Maintain records for the NBCC ACEP program and oversee audits, if required, with BOD guidance
Membership Chair (minimum ATR-P)
- Respond to all requests for membership information.
- Maintain communication with AATA regarding membership.
- Record and maintain membership information/roster online, including name, address, phone number, email address, employment or job specialty information, and credentials
- Respond to new and returning members with a “Welcome” letter
- Send out a “Reminder to Renew” letter to the current PAATA members annually
- Inform the Public Information Chair when membership benefits change and affect the specialty listings on the PAATA website (i.e., supervisor and private practice)
- Coordinate membership dues with the Treasurer
- Maintain updated current member contact information in Constant Contacts
- Complete and distribute participant evaluations and continuing education certificates for all CE events or delegate this task
- Create & distribute post-session surveys for all CEU events as well as track responses to the survey
- Generate 3 reports following each CEU event for auditing (Post-Session Survey individual responses, Course Evaluation Summary, & Registration and attendance records)
- Maintain records in our cloud storage platform
- Complete a Membership Satisfaction Survey every other year and distribute the results
Public Information Chair (minimum ATR-P)
- Collaborate with the President, Events Chair, and related Board Members regarding any outward-facing announcements to our members and nonmembers
- Promote PAATA events on the website and social media by creating a flier and image for Eventbrite (or other platform), designing and posting social media images, and sending out related emails regarding PAATA activities, functions, conferences, events, business, etc.
- Ensure the PAATA website is accurate, up-to-date, and designed to attract viewing (ex., update the Events page and other pages as needed)
- Post to social media daily/multiple times weekly, soliciting information from BOD members regarding content that promotes art therapy
- Email membership about events and other updates as needed.
- Create or help create print materials needed for in-person events.
- Maintain a current PAATA brochure to hand out at PAATA functions and send to appropriate parties/organizations as needed.
- Design and publish Newsletter (Winter, Spring, and Fall) with content including but not limited to: President’s Message; President-Elect Message; Voting Board Member Updates; PAATA Event Summaries; News and Event Reviews; Featured Art Therapist; Welcome/Farewell to Board Members; Treasurer’s Report; Members’ Shout Out
- Request Newsletter submissions from the PAATA BOD and membership one month prior to the anticipated publication of each Newsletter and a reminder thereafter if needed
- Secure photos at PAATA events for publication in the Newsletter and elsewhere with permission, or delegate this task
- Coordinate an update of the distribution list on the newsletter server as needed with the Membership Chair as needed
- Correspond with members regarding newsletter questions/inquiries
- Generate a digital copy of each completed newsletter and upload it to the PAATA storage areas for our record
